When planning food-related events, please be mindful of the safety of individuals with food allergies. Always consider dietary needs and clearly label ingredients.

When organising a fundraising event, we ask you to be committed to creating a welcoming, safe, and inclusive environment for everyone — including those living with food allergies, intolerances, and other sensitivities such as latex allergies.

Allergies can range from mild discomfort to life-threatening reactions and should be taken seriously. Our aim is to ensure that everyone can participate in your event with confidence, knowing their wellbeing has been carefully considered.

Commitment to Safety and Inclusion

Recognising that people may be affected by:

  • Food allergies (including nuts, dairy, gluten, eggs, shellfish, and sesame) Check the picture below for the 14 Allergens UK
  • Food intolerances (such as lactose intolerance or coeliac disease)
  • Latex allergies, including sensitivity to latex balloons

As part of your planning process take proactive steps to minimise risk and promote transparency.

Support Those with Allergies

Clear Communication

  • All food and drink items are clearly labelled with ingredient information and common allergens.
  • Signage is displayed where latex balloons are present, and alternative decorations are used where possible.
  • Attendees are encouraged to speak with event volunteers if they have any questions or concerns.

Thoughtful Choices

  • Aim to provide a range of allergy-aware food options, including vegetarian, vegan, gluten-free, and dairy-free items.
  • Where balloons are used, carefully consider placement and exposure, and offer latex-free alternatives when available.

Cross-Contamination & Environmental Awareness

  • Food preparation and serving areas are organised to reduce the risk of cross-contamination.
  • Latex balloons, if used, are kept away from food areas and handled separately to reduce exposure.

Volunteer Awareness

  • Volunteers should be briefed on basic allergy awareness, including food allergies and latex sensitivity.
  • Volunteers understand the importance of accurate information and know how to respond if an allergy concern is raised.

Ask Your Guests

While you take every reasonable precaution ask attendees with allergies or sensitivities to:

  • Inform a volunteer or event organiser upon arrival
  • Ask about ingredients or materials used before consuming food or entering decorated areas
  • Carry any necessary medication (such as an EpiPen) if prescribed

A Shared Responsibility

Creating a safe environment is a shared effort. By working together — organisers, volunteers, and attendees — ensure your fundraising event is enjoyable, respectful, and considerate of everyone’s needs. And importantly being inclusive.
